Job Description:
Job Summary: Coordinating office activities and standard operating procedures to secure efficiency and compliance for the special education division. Supervises the administrative support teams and focus groups to ensure productivity and efficiency.   Services as a project lead on division projects and facilitates project management process. 

Essential Functions:

Office Administration Management
  • Maintains office services by organizing office operations and procedures, controlling correspondence, designing filing systems, and assigning and monitoring clerical functions.
  • Designs and implements standard operating procedures (SOPs), trains staff on any new SOPs, measures result against standards, and makes necessary adjustments.
  • Keeps management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
  • Manages office staff by recruiting, selecting, orienting, and training employees.
  • Manages office staff job results by coaching, counseling, and supporting employees on a day to day basis. 
  • Oversees establishing, planning, and monitoring goals and objectives that align with the organization’s overall objectives for all direct reports.  Manage and complete the annual performance evaluations process incorporating such goals and objectives.
  • Assist with preparing annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions to meet financial objectives for the special education division.
Project Management
  • Work with Director of Special Education and Program Directors to coordinate and complete projects for the division.  Oversee all aspects of projects. Set deadlines, assign responsibilities, and monitor and summarize progress of project. Prepare reports for upper management regarding status of project.
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Develop comprehensive project plans to be shared with clients as well as other staff members
  • Develop a detailed project plan to monitor and track progress
  • Manage changes to the project scope, project schedule and project costs using appropriate verification techniques
  • Measure project performance using appropriate tools and techniques
  • Report and escalate to management as needed
  • Manage the relationship with the client and all stakeholders
  • Track project performance, specifically to analyze the successful completion of short and long-term goals
  • Meet budgetary objectives and adjust project constraints based on financial analysis

Supervisory Responsibility: Supervises support staff in the Special Education department.

Education and Experience:
  • Bachelor’s Degree Required in office administration or relevant field is required
  • Minimum 5 years management experience in an office setting
  • Experience working in education sector a plus
  • Project Management Professional (PMP) certification is a plus
Knowledge, Skills and Abilities:
  • Proven experience as an office administrator, office assistant or relevant role
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Proven working experience in project management
  • Excellent client-facing and internal communication skills
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multitasking skills
